1. Full participation in the project and all the planned sessions. I understand that if my participation is not 100% and my absence in the activity, for any reason, is not fully justified, I may not receive any reimbursement.

2. I will be responsible for covering any additional costs (exceeding the given budget) for my overall travel costs.

3. I will keep all invoices and proof of travel, including boarding passes, tickets etc. and submit them to the host organisation in original format as requested by them in a timely fashion. Non-digital materials will be posted to the host organisation.

4. I will prepare relevant materials in time for the project activity.

5. I intend to participate in all evaluation activities during the youth exchange and after its completion.

6. I intend to participate in the dissemination of the project and its results during and after the mobility of training course; in maximum 3 weeks after the mobility, I will involve the dissemination activities.

7. If I am a group leader, I will fill all the questions in the participant’s report sent via email by the European Commission’s Beneficiary Module Platform (EU SURVEY) ; fill all the fields in an accurate manner and respect the deadline provided by the survey.

8. I will show openness and respect towards other participants and all other individuals involved in the project.

9. I will respect the Code of Conduct that requires participants, facilitators, and staff to respect each other’s dignity, values, religion and culture, irrespective of race, gender, national or ethnic origin, sexual orientation, age or disability.

10. I allow the organisers to use any still and/or moving images being video footage, photographs and/or frames and/or audio footage depicting me, taken by the association itself and / or by the organisers and participants in the Erasmus+ project, during the period of the project, for any of the following uses: advertisements, leaflets, movie(s) and any other use such as for training, educational, promotional or diffusion purposes. I also confirm that I agree to the terms of personal data protection of the association.

11. I will have travel insurance issued for the period of the project activity / have my European Health Card.

12. That the days prior or after the project I am travelling at my own risk and expense, and that having insurance is my own responsibility.

Please note that photos and video recordings may be taken during this event and used in various media. These recordings may include images of participants, selected at random. The materials may be published on the website, in print publications, and on the social media channels of BUNDjugend Berlin and the partner organisations of the youth exchange. By registering for the event, participants give their consent to the free use and publication of such images as described above, without the need for an explicit declaration. If a participant does not wish to appear in any published materials, we kindly ask that they inform the responsible photographer directly at the event.
